I am hugely disappointed at the level of service.

UPDATE - Someone from The Tax Refund Company has now contacted me. Like the reply below have blamed HMRC in the main. The reply that they have provided on Trust Pilot fails to address my complaints about lack of communication from The Tax Refund Company and error that they made on the claim form.

In their recent email to me they have asked for further information about the lack of replies and communication from their company and also the incorrect information they were going to submit to HMRC on my behalf. I will provide that information to them shortly.

I wanted to highlight that whilst there seems to be issues with HMRC, the level of service that I have received from this company is a separate issue and not of the standard I would expect, especially with the fees they will take if my claim is successful.

The Tax Refund Company’s response is very disappointing and tries to mask their insufficient service as wholly down to HMRC and not their error or lack of service.

Original complaint:
I am hugely disappointed at the level of service I have received from this company. Initially the claim they submitted to me to sign was incorrect which I had to email and correct. Further information was required from HMRC which I provided. I heard nothing back from them for months. I chased the company about the claim and was told that HMRC were not responding to agents queries. This email was back in November 2025. I have subsequently chased the company again and I have received no reply. I am very concerned at the standard of service and indeed whether this company is legit. I will be emailing to cancel my claim with them and going somewhere else.

Hi Ellie, thanks for taking the time to share your feedback. We completely understand your frustration and are genuinely sorry for the delay.

Unfortunately, as you’ve noted, HMRC are currently experiencing significant backlogs. As of this morning, they will not provide case updates unless a claim was submitted over 11 months ago. This is a little better than the 12 months they have quoted previously, but still severely limits our ability to obtain meaningful progress reports on behalf of our clients.

We agree that this level of service from HMRC is unacceptable. While some claims are processed quickly, others remain delayed despite being correctly submitted and actively monitored.

Please be assured that we continue to chase HMRC wherever possible and will update you immediately as soon as we receive any information. We appreciate how frustrating this situation is and regret the impact it has had on your experience - we are equally frustrated.

I received countless emails chasing me…

I received countless emails chasing me to use them to make a claim for me. Eventually gave in and did all of the paperwork now not responding to my email requests for an update after months of waiting.

I am having trouble getting in contact…

I am having trouble getting in contact or responses from this company about an application I have made. I have been asked to sign the same document twice and when I tried to find out what was happening I did not received a response and the phone number just rings out before telling me everyone is on the phone. Customer service has not been very good.

Hi Ciaran, sorry to hear you've been having trouble getting through - we've been inundated with applications lately.

Just out of interest - have you tried emailing for an update? Emails sent to info@thetaxrefundcompany.co.uk are normally responded to within 1 working day.

That said - I've had a quick look at your case to see what's going on.

HMRC have been asking to us to make extra checks, so if you look closely (I appreciate that the forms can contain a lot of information) the 2nd form that you've been asked to sign (and now have - thank you) contains different information to the first form - due to these extra checks.

The form will now be sent to HMRC and we'll await the outcome. Just to manage your expectations, the very quickest repayments are processed in around 4 weeks, but this very much depends upon HMRC's workload, we have seen them taking anywhere from 6 weeks to 6 months, sometimes longer, to be fully resolved.

That said, never fear, we will continue to chase them up on your behalf until everything is fully resolved.

I sent off my application about 4/5 months ago now, I received a response saying I was owned money but it didn’t say an amount, after responding to the yes/no questions which I was asked to do quickly to avoid any deductions, I was sent another email saying it would take 2 days for a response, since then it’s been almost 3 months with nothing, after emailing the enquiry team to see the progress I’ve had no reply, it was a fast at the start, soon as I was told I was owed back money I’ve heard nothing back.

Initially when they needed my…

Initially when they needed my information to send to HMRC they were replying quickly, now it is completed on HMRC's side i am not receiving replies regarding my refund.

We normally allow 14 days from the date that we receive a refund for the team to check that a client's refund is correct, and that everything that should be refunded, has been.

Well this is unusual! Are you sure you have the correct company?

You've stated "This company applied for a refund on my behalf which I didn’t ask them to and then kept that money themselves telling me it was to pay their fees".

We ask if you have the correct company as there are a number of businesses operating with a similar name to ours, and we only deal with customers who have specifically applied for our services and agreed for us to act on their behalf.

Just to illustrate the process - we actually can't claim back any tax for a client if they don't give us authorisation to do so as you will see in the explanation below:

We are an HMRC authorised agent and HMRC will not send a refund to an authorised agent on behalf of a client unless specific authorisation has been given from the client themselves.

Clients give authorisation by signing HMRC's official documentation using what's called an "Advanced Electronic Signature" process which is insisted upon by HMRC. This process tracks each step, recording when the document is signed, who signed it, even the device they used when they signed it. So, it's not something that can be done by accident or fraudulently.

So as you can see, in order for us to have claimed any tax back for you at all, you would have had to have given us authorisation to do so. Whereas in your review, you're saying that you didn't ask us to do it, so therefore you must have the wrong company.

Sorry to hear you have had a bad experience with whichever company you used. If someone has acted on your behalf, but without your authorisation we recommend that you contact the authorities for further guidance.

Be very careful if you’re thinking of using this company

If you are thinking of using this company, please don’t. I signed up for them to act on my behalf and they were quick to advise me that I was due a tax refund. Further to their involvement I have received tax demands from HMRC for allegedly underpaid tax of approximately £600. At no point did they advise me that I may owe tax because if they did I would never have signed up to their service. I tried to complain but they refused to to give me their complaints procedure or advise me who their regulatory body is. Be very careful.

Thanks for getting in touch Keith, although we're not sure what you're trying to achieve by leaving this review as most of what you've written simply isn't true is it?

So, let's step through what actually happened.

We'll start with the part that's true - You applied for our service and yes, the initial information you provided suggested you may have been due a refund.

OK, now let's go through the rest:

You applied for our service in April but then sent us paperwork that you had already received from HMRC in March showing that you had not paid enough tax. So, you suggesting that you received these further to our involvement simply isn't true, is it?

We know HMRC's paperwork can be quite challenging to understand, which is why it's often a good idea to employ a professional company to look into things for you. When we reviewed your paperwork we discovered the amount you owe them is actually £117.32 which your advisor informed you of at the time (and you replied to their email).

At this point we could have simply said, sorry you're not due a refund as you've not paid enough tax, but what we actually did for you was deal with HMRC on your behalf in an attempt to reduce the amount you owe, which unfortunately we were unable to achieve. It is worth mentioning here (for our avid negative review readers) that we did this completely free of charge, so you are certainly no worse off as a result of engaging our services.

So by stating here that you owe £600 when you already know that's not the case and by also suggesting that it was as a result of our service cannot even be classed as an honest mistake on your part.

It seems that you are attempting to both sensationalise a situation you find yourself in and damage the reputation of a company that has not caused the situation but has simply provided a professional service to try and help you out, again worth mentioning - completely free of charge.

To your final point about not providing details of how to make a complaint, your advisor provided you with all the details of exactly how to make a complaint, which you did, and your complaint has subsequently been investigated and dealt with, again in a professional and timely manner.

Our only thoughts as to why you would write such a review, given how little truth is contained within it, is that perhaps you’re going to use it as part of an application for a click bait copywriter? If that's the case, then we wish you good luck. It seems you have a natural talent.

High fee

This is a great idea, however the TRC fee is massively high considering the amount of people who use the service and the current financial climate. I received confirmation from HMRC with a claim of almost £400 owed to me. The TRC emailed to me to say the cheque had been processed taking into account their fee, well it arrived the other day and I got just over £110. Disappointed is an understatement considering it’s taken months and months to do. So if you have the time to work out your own tax rebates I would definitely recommend doing that.

It sounds like you may have misunderstood the information you've received from HMRC. It happens all the time and is just another reason why clients really need to know what they're doing when dealing directly with HMRC.

From what you're describing, we've obtained you a refund covering a number of tax years. When HMRC write to clients letting them know that there is a refund due, they will send 1 letter for each year, often all in the same envelope, but not always. The confusion is almost always caused in the way that they add together any previous year's refund and include it into the next year's letter.

For example, to keep things simple, let's say we identify that a client has paid £100 too much tax every year for the last 3 years and arrange to get it refunded. HMRC will send the client 3 letters:

The first will include information about the tax paid during that first year and will say the client is owed £100 (pretty straightforward).

The second will include information about the tax paid during the second year, but will also include information about the tax owed from year 1, so will say the client is owed £200.

The third will include information about the tax paid during the third year, but will also include information about the tax owed from year 1 and 2, so will say the client is owed £300.

This confusion is usually because clients don't realise that the total refund is the amount on the last letter, not all 3 added together.

This then leads to disappointment when the client thinks they're getting a refund £600, when it's actually only £300 (using figures from the example above).

We then process the refund, check everything is OK, forward the refund minus our fee and all of a sudden the client thinks we've charged ridiculously high fees for our service and taken most of their refund, when we haven't. They've just misunderstood the paperwork from HMRC.

To be fair, we do provide a full breakdown of the actual refund amount and calculations regarding our fee in the email you have mentioned, but even so, we understand your disappointment when you think you're getting a certain amount refunded but that turns out not to be the case.

Our apologies for any confusion that this may have caused. You're not the first person to have misunderstood HMRC's paperwork and are unlikely to be the last. Unfortunately, that's just the way they do things.
